Official document management software under Decree 30/2020

Tetra eOffice takes every official document from registration to routing, deadline tracking, digital signing and archiving on one system, deployed on your own servers and configured to your formatting rules.

Excel or software

A register is not a document management system

A spreadsheet records that a document exists. Document management software handles what happens to it.

One system from receipt to archive

05 / STEPS

Receive and register

Incoming documents are registered, numbered and tagged to your formatting rules.

Distribute and route

Leaders add direction; clerks route to the responsible departments and officers.

Handle and track deadlines

Each document has a deadline, status and current owner; workflows follow the BPMN standard.

Digital signing

Multi-signer routing, reminders and signature placement; sign via VNPT SmartCA, Viettel MySign or MobiFone HSM.

Issue and archive

Outgoing documents are issued, archived centrally and searchable with their full history.

Public sector

Built for public-sector requirements

Formatting and numbering

Documents follow the Decree 30/2020 format; registers, numbering and notation rules are configured to each unit’s records regulations.

Document interconnection

When you need to exchange documents with the national interconnection axis through your ministry or province platform, the connector is built to the current standard within the project.

Deployed on your own servers

The system runs on your servers and your data stays in infrastructure you control; the application covers the authentication, access-control and logging requirements of graded information security.

Signing to your requirements

Public signing via VNPT SmartCA, Viettel MySign and MobiFone HSM is built in. Government-only certificates are a separate integration scoped during discovery.

FAQ

Common questions

Is Excel enough to manage official documents?

Excel can replace the paper register of incoming and outgoing numbers, nothing more. It does not route documents, track deadlines or status, handle digital signing, or send and receive electronic documents. It suits very small units or temporary use.

Does Tetra eOffice run on our own servers?

Yes. Tetra eOffice is deployed on your infrastructure. AI and signing services can run in-house or use cloud services, depending on your security requirements.

How long does deployment take and what does it cost?

Tetra eOffice is not sign-up software. It is tailored to your workflows, typically deployed in 3–6 months, with costs from about 300 million VND depending on scope and integrations.
