This policy describes how Tetra Software Company LTD ("we") collects, uses, stores and protects your personal data when you visit this website, including when you apply for our open positions. We comply with Vietnam's Law on Personal Data Protection (No. 91/2025/QH15, in force from 1 January 2026), Decree 13/2023/ND-CP, and the Law on Cybersecurity, and we apply GDPR principles for users in the European Union.

2. Data we collect
We only collect data necessary for the stated purposes:
- Data you provide: name, email, phone, organization, and message content when you submit a contact/demo form.
- Application data: when you apply through our careers pages — name, email, phone, your CV/résumé and the information in it, the role applied for, cover letter, expected salary and a CV link (if you provide one). We only collect data relevant to recruitment; please do not include unnecessary sensitive data in your CV.
- Automatic technical data: IP address, device/browser type, pages viewed, time of visit, referral source (via cookies and analytics).

3. Purposes and legal bases
We process personal data for the following purposes, on the corresponding legal bases:
- Responding to consultation, demo and support requests — basis: at your request / consent.
- Receiving and assessing applications and contacting you during recruitment — basis: your consent when you submit an application. You may withdraw consent at any time.
- Operating, securing and improving the website — basis: legitimate interest.
- Anonymized traffic analytics to improve the website — basis: legitimate interest (self-hosted, cookieless tool).
- Complying with legal obligations — basis: legal obligation.
4. Cookies and analytics
The website only uses cookies necessary to function. Our analytics tool (Umami) is self-hosted on our own infrastructure, uses NO cookies, collects NO personally identifying data, and shares nothing with third parties. As a result, the site does not need to ask for tracking-cookie consent. See our Cookie Policy for details.
5. Sharing with third parties
We do not sell personal data and keep sharing to a minimum. Processing is kept in-house on infrastructure we control; we only share with processors genuinely needed to operate (e.g. infrastructure/hosting providers, an email service for notifications), under data-processing agreements and to the minimum extent.
Our web analytics (Umami) is run by us, not a third-party service, so analytics data never leaves our infrastructure. We also use Google Search Console to monitor performance in Google Search; this is a webmaster tool that places no tracking on the website and collects no personal data through the site. If we run advertising in future, we will still measure with Umami and campaign parameters (UTM) rather than embedding third-party tracking pixels.
6. Storage and transfers
We prioritize operating our systems and analytics data on infrastructure we control, located in Vietnam, in line with in-country data-localization requirements (the Law on Cybersecurity and Decree 53/2022). If a processor must host servers outside Vietnam, we apply appropriate safeguards (a cross-border transfer impact assessment under Decree 13/2023; GDPR standard contractual clauses for EU users' data).
7. Retention
We retain personal data only for as long as necessary for the collection purpose or as required by law, after which we delete or anonymize it.
For job applications specifically: if you are not hired, we delete or anonymize your application data (including your CV) within 12 months of the end of the recruitment process for that role, unless you agree that we may keep it longer to consider you for suitable future positions. You can request deletion at any time via contact@tetra.vn.
8. Your rights
Under Decree 13/2023 and the GDPR, you have the right to:
- Be informed of and access your personal data.
- Request correction of inaccurate data.
- Request deletion of your data.
- Withdraw consent you have given.
- Restrict or object to processing.
- Data portability (for EU users).
- Lodge a complaint with the competent authority (in Vietnam: the personal data protection authority; in the EU: your data protection supervisory authority).

9. Data security
We apply reasonable technical and organizational measures (encryption in transit, access controls, monitoring) to protect personal data from unauthorized access, alteration or disclosure.
Job applications and CVs in particular are stored with restricted access: only authorized recruitment staff can view them, and they are never exposed publicly.
10. Children
This website is not directed to children under 16. We do not knowingly collect children's data; if we discover any, we delete it.
11. Changes to this policy
We may update this policy. The latest version will be posted on this page with its update date.
